The Accounts Receivable/Payable Clerk will assist in ensuring that the company receives payment for goods and services offered to clients. This person(s) will also be responsible for monitoring the outflow of capital for the company.

  • Prepares, posts, verifies and records customer payments and transactions related to accounts receivable.
  • Facilitates payment of vendors, which may include verification of Federal ID numbers, reviewing purchase orders, resolving discrepancies, and obtaining necessary information in accordance with company guidelines.
  • Maintains and updates customer files, including name and/or address changes, mergers, or mailing attentions.
  • Ensures outstanding obligations are reconciled upon payment, identifies and utilizes discount opportunities, and issues purchase order amendments or stop payment orders as needed.
  • Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts those delinquent accountholders to request payment.
  • Maintains lines of communication with vendor accounts receivable departments
  • Researches customer discrepancies and past due amounts with the assistance of the Collections Manager and other staff.
  • Assists with accounting records and ledgers by reconciling monthly statements and preparing accrual schedules for the Senior Accountant.
  • Collaborates with the Collections Manager to reconcile accounts receivable on a periodic basis (at least bi-monthly).
  • Calculates and reports sales tax based on paid invoices.
  • Assists Accounting Manager in reconciling revenue accounts each month.
  • Copies, files, and retrieves materials for accounts receivable as needed. Records, Data Entry and File Maintenance.
  • Relays changes of information to appropriate employees.
  • Assists with fiscal month and year end activities.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Excellent verbal and written skills
  • Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
  • Must be reliable and trustworthy
  • Ability to maintain confidential and meticulous records
  • Ability to operate related office equipment, such as: computers, 10-key calculator and copier/fax/scanner as well as able to learn different accounting software systems
  • Ability to work independently and in a fast-paced environment
  • Ability to anticipate work needs and interact professionally with customers.
  • Excellent organizational skills and attention to detail.
  • Excellent math skills

Education and Experience:

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting (or related field) preferred.
  • At least two years of related AP/AR experience required

Physical Requirements:

· Prolonged periods sitting at a desk and working on a computer.

· Tangible File maintenance and storage transfers
